Employee Experience Survey Privacy Notice
This notice explains how the WWEC Employee Experience Survey collects, uses, protects and retains employee feedback. It is designed to protect individual privacy while producing meaningful workplace insight.
Data lifecycle
From an individual answer to an aggregate finding.
Individual survey responses are not shared with the participating organisation. Responses are aggregated before reporting, and reporting is permitted only where the approved minimum reporting-group threshold is met.
Collect
Responses are gathered through a secure link inside an approved survey window.
Aggregate
Results are combined and reported only above the approved minimum reporting-group threshold.
Protect
Access is restricted, audit trails are kept and identifying demographic combinations are suppressed.
Rights & retention
Employees retain their rights and data is held only for the approved retention period.
Data collected
What we ask for — and what we do not.
- Responses to structured workplace experience statements (agreement scale).
- Optional demographic or role-group information needed for aggregate reporting.
- Survey metadata such as completion time and browser type, used only for quality control.
- Individual survey responses are designed to be collected without direct identifiers such as name, employee ID or email. Separate contact or administration data, where collected, must be governed and segregated according to the approved survey architecture and privacy notice.
How responses are used
From individual answers to aggregate insight.
- Individual responses are combined into aggregate results before any analysis or reporting.
- Results are used to assess the organisation against the WWEC dimensions and the WWEC Workplace Excellence Truth Map™.
- Anonymised data may be used for research, methodology improvement and benchmarking where permitted.
- Free-text comments are analysed for themes. Comments are never returned to an employer with any identifying detail, and a comment is only ever quoted where it is de-identified and the group response threshold is met.
- No individual is identified in any report, presentation or improvement plan shared with the employer.
Protection
How privacy is safeguarded.
- Responses are collected through a secure survey link using encryption in transit.
- Access is limited to approved WWEC administrators and, for aggregate results, the assessment team.
- Aggregated results are only produced where group thresholds are met.
- Responses are retained only for the approved period and then deleted or anonymised.
- Employees are informed of the purpose, participation rules and privacy rights before taking the survey.
Your rights
What employees are entitled to.
- Participation is voluntary and employees may skip questions or withdraw before submission.
- Where responses have been irreversibly anonymised or aggregated, individual withdrawal may no longer be technically possible. The applicable privacy notice and approved survey methodology govern the available rights and withdrawal process.
- Employees may contact the survey help channel or their data protection contact for privacy questions.
- Complaints about privacy handling may be raised through the WWEC Appeals & Complaints process.
The WWEC Employee Experience Survey is designed to be privacy-respecting and anonymised by default. It does not process personal data in a way that allows individual employees to be identified in assessment reports. Any processing is carried out in accordance with the approved survey methodology and applicable data protection law.
Privacy is built into the design.
