WWEC Employee Experience Survey

The WWEC Employee Experience Survey captures how people actually experience the workplace — not what policies promise. It is confidential, structured and built into the WWEC assessment and certification system.

Purpose

Why the survey matters.

Workplace policies and leadership statements describe intent. The employee experience survey tests whether that intent is felt in practice. It is one of the three lenses of the WWEC Workplace Excellence Truth Map™.

  • Capture lived experience across the eight WWEC dimensions.
  • Surface gaps between what the organisation says and what people experience.
  • Provide a secure, confidential channel for employee voice.
  • Feed into assessment, scoring and improvement planning.

What the survey measures

Employees are asked to share their agreement with workplace statements relating to safety, respect, fairness, inclusion, leadership, wellbeing, growth, voice and continuous improvement. Each statement maps to a specific WWEC dimension.

Who takes part

Employee voice, gathered confidentially.

Participation is voluntary and confidential. Individual responses are never disclosed to the participating organisation; results are reported only in aggregate.

Who participates

Who is invited and how.

The survey is designed for the people who live the workplace every day. Participation is voluntary, but broad participation is important for reliable results.

  • All employees within the declared certification scope are invited to participate.
  • Participation is voluntary and based on informed consent.
  • Surveys may be administered by organisation, department, location or other approved grouping.
  • Individual responses are never shared with the employer.

Strongly Disagree · Disagree · Neither Agree nor Disagree · Agree · Strongly Agree · Not Applicable.

Individual responses are excluded from scoring if an employee selects “Not Applicable” or “I Don’t Know.”

Privacy architecture

What the survey stores — and what it does not.

These statements describe the actual implementation of the WWEC survey, not an aspiration. They are the controls the confidentiality claims on this page rely on.

No identity fields

The survey form does not ask for, and the response record does not contain, an employee name, employee ID, staff number or personal email address. The only identifier submitted is the survey invitation code, which identifies the organisation and the survey round — not the respondent.

No email link to responses

Survey responses are stored without a contact email, so no acknowledgement email is sent for a survey response and no response can be matched back to an individual mailbox.

Network and device data

WWEC does not store the respondent's IP address, browser fingerprint or device identifiers with the response. Transport-level logs held by the hosting platform are retained only for security and are not accessible alongside survey content.

Timestamps

A submission timestamp is stored for data quality and survey-window management. It is used only at survey-round level and is never reported to an employer against an individual response.

Demographic segmentation

Where an organisation requests segmentation, only broad approved categories are used, and any segment is reported only if the minimum response threshold for that segment is met; otherwise the segment is merged or suppressed.

Small-group suppression

Results for any group below the minimum response threshold are not reported separately. Suppression is applied before reporting, not after an employer requests a breakdown.

Access control

Response records are held in a private, access-controlled database. Client-side access is blocked by row-level security; reads occur only through privileged server-side functions used by the WWEC insight function. Employers never receive database access.

Backups, retention and deletion

Records are covered by the platform's encrypted backups and are retained for the certification cycle and the WWEC archive period, after which survey records are deleted. Organisations cannot request deletion of individual responses, because responses cannot be traced to an individual.

Exports and reporting

Exports to an employer contain aggregate scores, threshold-checked segment scores and de-identified thematic comment summaries only. Raw response rows are never exported to an employer.

Analytics

Site analytics are consent-based and measure page engagement only. Analytics are never joined to survey response content.

Third-party survey providers

The survey runs on WWEC's own platform and backend. No third-party survey provider processes employee responses.

Free-text comments

Comments are read by the WWEC insight function to identify themes. They are de-identified and grouped before employer reporting, and any comment that could identify an individual is withheld or paraphrased.

WWEC does not claim that free-text comments are technically unreadable by WWEC. Comments are read by the WWEC insight function so that themes can be reported. What WWEC does guarantee is that no comment, and no individual response, is returned to an employer in a form that identifies the person who wrote it, and that comments are de-identified and thematically grouped before any employer reporting.

Confidentiality

Employees can speak without fear.

Confidentiality is not an afterthought. It is built into the survey design, administration, reporting and retention rules.

Individual employee responses are anonymised at source, protected through the approved WWEC survey privacy and reporting controls and stored securely.

No manager can see individual answers or identify who responded.

Aggregated results are only reported where the minimum group threshold is met.

Demographic combinations that could identify an individual are suppressed.

Access is limited to approved WWEC survey administrators and assessors.

WWEC will never disclose an individual employee’s responses to the participating organisation or any third party. Results are reported only in aggregated form, and only where the approved minimum reporting threshold is met.

Response thresholds

Results are only reported where participation is sufficient.

Small groups can reveal too much. WWEC applies minimum response thresholds so that no individual can be identified from aggregate results. If a group does not meet the threshold, alternative evidence is used.

Exact thresholds are defined in the approved survey methodology for the relevant certification scope and are communicated to the organisation before the survey opens.

How responses are used

From survey data to assessment insight.

Employee experience is not a popularity score. It is one input into the WWEC Workplace Excellence Truth Map™, used alongside organisational commitments and assessment evidence.

  • Aggregate results are compared with stated policies and commitments.
  • Dimension-level scores inform the assessment and scoring methodology.
  • Material gaps between experience and evidence become assessment findings.
  • Improvement opportunities are identified and tracked over time.
  • Survey trends are considered during renewal and surveillance reviews.

Contribution to assessment

The employee experience input contributes to the WWEC Alignment Score by revealing whether stated commitments are felt in practice. It also informs WWEC Evidence Confidence by showing how consistently experience is reported across the organisation.

What employees are told

  • That individual answers will never be disclosed to the employer.

Data & privacy principles

Privacy by design.

Employee feedback is personal data. WWEC handles it with the same care as any other assessment evidence, with clear principles, limits and safeguards.

Lawful, fair and transparent processing of employee feedback.

Purpose limitation: data is used only for assessment, improvement and research under approved scope.

Data minimisation: only the questions and attributes required for the approved methodology are collected.

Storage limitation: responses are retained only according to the approved retention schedule.

Security and integrity: secure links, encryption in transit and access controls.

Accountability: audit trail of material changes, incidents and access decisions.

If thresholds are not met

What happens next.

A survey window may not always produce enough responses for every group. When that happens, WWEC follows a controlled fallback process rather than forcing weak data into a report.

  • The organisation is informed that the group result is below the reporting threshold.
  • Options may include extending the survey window, targeted reminders or additional communication.
  • If the threshold still cannot be met, the group is excluded from separate reporting.
  • Alternative evidence — such as interviews, additional records or focused review — may be used where permitted by the methodology.
  • The final assessment report explains how employee experience was established and any limitations.

The WWEC Employee Experience Survey is a controlled methodology under the WWEC Workplace Excellence System™. It is not a general engagement survey, market research tool or standalone certification. Results must be interpreted alongside organisational evidence and the assessment criteria.
